Refund & Cancellation Policy

1. Introduction

Team Vimalakar Foundation ("we", "us", or "our") is committed to transparency and accountability in all our financial transactions. This Refund & Cancellation Policy outlines our procedures for donation refunds and cancellations related to our initiatives in education, empowerment, and healthcare through the Kunjara Yatra program.

We value every contribution made to our foundation and strive to ensure that our donors have complete confidence in our processes.

2. Donation Refund Policy

Eligibility for Refunds:

• Technical Errors: Refunds will be processed if a technical error results in duplicate transactions or incorrect donation amounts
• Unauthorized Transactions: Donations made through unauthorized use of payment instruments are eligible for refund upon verification
• Donor Error: Cases where donors accidentally donate an incorrect amount may be considered for refund

Non-Refundable Donations:

• Donations made voluntarily without technical errors
• Contributions where funds have already been allocated to specific projects
• Donations made more than 30 days prior to the refund request

3. Refund Process

• Request Submission: Refund requests must be submitted in writing to contact@teamvimalakarfoundation.org within 30 days of the transaction
• Verification: Our team will verify the request within 7-10 working days
• Approval: Eligible refunds will be approved by our finance committee
• Processing: Approved refunds will be processed within 15 working days through the original payment method
• Notification: Donors will receive email confirmation once the refund is processed

4. Event Cancellation Policy

For paid events organized by Team Vimalakar Foundation:

• Cancellation by Participant: Registration fees are non-refundable if cancelled less than 7 days before the event
• Cancellation by Foundation: Full refunds will be issued if we cancel an event
• Postponement: If an event is postponed, participants may transfer their registration to the new date or request a full refund
• Force Majeure: In case of cancellation due to unforeseen circumstances, refund policies will be communicated separately

5. Service Cancellations

Healthcare Services:

• Medical camp registrations can be cancelled up to 24 hours before the scheduled appointment
• No refunds for no-shows or cancellations within 24 hours of the appointment

Educational Programs:

• Workshop or training program fees are refundable if cancelled at least 7 days before the program start date
• 50% refund for cancellations made 3-7 days before the program
• No refunds for cancellations within 48 hours of program commencement

6. Payment Security

We utilize secure payment gateways to process all transactions:

• All online payments are processed through PCI-DSS compliant payment gateways
• We do not store sensitive payment information on our servers
• Transaction details are protected using 256-bit SSL encryption
